The Dashboard release last fall brings all kinds of efficiencies to accessing what you need as soon as you login. The most visual of the these is the Metric Card. In this post, I'm going to take you step by step adding two of the most common reports used by pastors and staff to the Metrics Card. You'll see how to do this so that even pastors and staff that don't need access to giving can have the giving summary on their dashboard as soon as they login.
Worship Year To Year
Attendance for everything in Churchteams is taken through a group. So, create your worship group(s) and start taking attendance. Here are some Knowledge Base Articles to help with that. If you've not entered attendance in Churchteams but have it elsewhere, go ahead and enter your attendance history within the Worship group(s) under the blue Meeting Reports button.
To create the report go to Reports > Groups > Attendance Chart. On the next page select your output options: Date Range, Weekly, Compare to prior year, Combine attendance. Then select your worship group(s) under filters.
When you run the report you will see an expanded version of the first line chart in the above Metric Card. Next, you need to Save the Report. When you do, give it a name and set the security level you want to be able to see this report (staff here). To make the report dynamic so that it automatically calculates most recent data use the "Last X weeks" option and put in the number of weeks - 52 or 53 for a year. Then Save the report.
Giving 12 Months Vs. Last Year
If you haven't started keeping your contributions data in Churchteams yet, join me for a Giving Webinar and we'll get you going. You can even import data from previous years. And our online giving automatically posts to giving records and will likely save you money on fees. There are a lot of advantages to having everything in one place.
To create the report go to Reports > Financial > Contribution Summary Chart. Once you do select your options: Line Chart, Weekly, Compare to prior year, and date range.
When you run the report, you will see an expanded version of the second chart in the image above. BTW, play around with the Pie Chart as well. It is especially useful for seeing things like giving by funds and especially giving by contribution methods. Next, Save the report. As above give it a name and use a dynamic calculation range so that it is always current. Notice the security level allows you to save it at a lower access level (like staff) than can actually run the report (only financial admin can run this report). This allows you to give pastors and staff access to a standard report without having to have access to the actual data!
Add These Charts To Your Metrics Card
Now that you have these charts as saved reports, they are available for whomever has the appropriate access to add to their Metrics Card when they login. Just click the icon in the Metrics Card header. Then click the dropdown and choose the charts to include.
This exercise is a really good one for staff teams to learn to use charts and the Metrics Card. I suggest dedicating a staff gathering to do it together. Have everyone bring their laptop or phone and then have each person or team build their own line charts for attendance and add them to their own Metrics Cards. This will build comraderie, alignment and excitemment about optimizing the use of Churchteams.
Let us know how it goes.
