You might remember that Churchteams began as small group software 25 years ago. We actually coined the term "Groupfinder" to highlight one of our very first features. From the start, it’s been designed to make connecting simple—giving people searching for groups direct access to leaders, without needing to go through staff.
Here are six common questions about this feature and upgrade that will give you more insight.
- Should we use Groupfinder if we just have a handful of small groups? If your church has fewer than five groups, a simple registration form works well—selecting a group is straightforward, and it’s easy to send customized email responses to both leaders and registrants.
- What about security of leader contact information? Leader information is hidden. It's up to the leader to reach out to the person who filled out the form.
- How do we help leaders follow through on contacts? Show them what your website looks like and how people are registering or emailing them. That way leaders understand how they were contacted. Let them know they are the front line of group connection and ask them to respond within 48 hours.
- How do we know if it's working? There are a few ways to get information back on who is using Groupfinder. (a) Set up the Coach and Staff area in Churchteams so that upline coaches and staff are copied on confirmation emails immediately, (b) Create, save, and schedule a report to run every week that lists people who have registered for or been added to your small groups in the past seven days, (c) Create a “Small Group Interest” group to track the group connection progress over time.
- Can you close groups that are full? For sure. Set the size you want to limit the group to on the Group Info page. Once a group reaches capacity, it will be marked as "Full." To remove a full group from the list automatically, go to Groups & Events > Settings > Browse Groups page and edit the settings so that Full Groups are only shown at the Leader level or higher, not the Guest or Member level. This settings page was also refreshed with this release.
- How does this impact the Groupfinder we currently have? If you already have a Groupfinder on your website, it will continue to function as it has. If you would like to switch it out for the new, cleaner look, you must opt in to the new UI from the home screen. From the new UI menu (left side of screen), navigate to Communicate > Website Integration and create the new link or code in section two of that page. If the page reflects the new UI, you're on the right page. Copy that code or link and add it to or replace it on your website.
Note: This upgrade is only available in the 2025 UI
