4 of the best ways to use color-coded attribute responses

In August, 2021 we released a feature that allowed clients to color code member attribute, drop down responses for quick recognition on a member profile page.  Check out the blog post to see my suggestions back then for how to use these.

Our support team has been hearing and sharing ideas on these and thought it might be interesting to share how some of our clients are actually currently using color-coded attributes.  I asked our Users Group on Facebook for their thoughts as well.

Multiple services?  Copy, Synch (New!), Report.

Let's say the Jordans have children involved in youth sports.  Generally, they attend worship and Sunday School at 9:30 a.m. on Sundays.  But their new league plays about half their games on Sunday mornings.  So, during those weeks the Jordans attend worship and Sunday School during the 4 p.m. service on Saturday.  A great solution provided by an understanding church!

Best Practices to Stop Duplicates & Merge

Those of us who deal with database maintenance at all share the headache of discovering and merging duplicates.  The best practice for keeping a clean database in our church software is to schedule a monthly event or task to run merge reports for members and families.  We've added and detailed several options for both types of merge reports under the Members button then click Merge.  This is your foundational task for maintaining your database.

Merge: Clean Data People Trust

Underneath the Member Button is a Merge link.  It may be subtle, but it is a workhorse feature for maintaining a clean database.  In this post we will talk about why this is important to you, when you'll use it, how to use it and what happens when you use it.

Why does Merge matter? 

  • Gives people a single identity.  All a person's data is in one profile.
  • Keeps families together.  Brings family members who may be split up in the database together under a single umbrella.
  • Less confusion.  It's bad to see multiple options for the same person when you search for them.
  • Happy Staff.  Duplicate data is messy data.  Messy data causes staff to lose trust in the software.  Clean data gives them confidence. 

When will you use Merge?

  • When you spot duplicates.  If you do a search or run a report and see a duplicate, take 30 seconds to merge them.  A great habit for all staff.
  • When you see split families.  Husbands and wives, and parents and kids need to be kept together.
  • Preventive maintenance.  We suggest calendaring to run the two possible duplicate reports every month or two. Think of it like changing the air filters in your house.
  • Before sending statements.  At least do it yearly.  Many churches do it in December in preparation for the January emailing of statements.

How do you use Merge?  Click the Merge link underneath the Members button to get started.

  • Person search.  If you spot a duplicate go to the Merge page and enter their last name.  Check the entry in the From column to merge into the entry in the To column.
  • Possible duplicate member report.  These 3 reports give you the criteria used to find duplicates for you.  Pick the one you want and then review and merge potential duplicates.
  • Family search.  If you see that a family is split apart, click the blue button then find the family of one family member in the From column and move them into a family in the To column.
  • Possible duplicate family report.  Run this report to let the system find duplicate families for you.
  • Delete empty families.  Merging members can leave a family with no members in it.  If there's no reason to keep the data for family with no members, delete them by clicking that option under Members / Family Search.

What happens when you Merge?

  • Financial Information is combined.  No contributions are lost.
  • Groups data is combined.  All record of group involvement for both records is kept.
  • Email addresses.  All email address are kept.
  • To profile trumps the From profile.  Things like names and phone numbers in the From profile are lost in favor of the same information in the To profile.  
  • Unduplicated information.  If the From profile has information that the To profile does not, that information is used to update the To profile.

The simple habits of merging duplicates when you see them and scheduling to run duplicate reports consistently will help you maintain a clean database that people trust, appreciate, and best of all ... use.

Database Dummies and Duplicates

I asked our team the other day for their input on blog topics that would help our clients.  Donna, who helps Mark with programming and does most of the data imports suggested I do one on clean data.  What a great idea.  Here's her thoughts about Duplicate and Dummy Records.
 
Donna:  I am surprised at how many clients leave our "dummy" records in their account.
Boyd:  These are the profile records that come with your free trial.  They are there to give some names to play around with.  But, when you're data is imported, get rid of them!  We've given you an easy way to do that: Reports / Members - Delete Members.  Then under filters: Groups / Group Involvement / People in a Group - pick the Archive group (it contains all these dummy records) and run.  Gone.  Then, get rid of the dummy groups by clicking the red x on the far right of the browse groups page.
 
Donna:    After I load client data, I can spot the duplicates in the member table. So, I send them files with the records that I think might be duplicates highlighted for them to look at and merge.  At least I do this with our larger clients once I have finished loading their data.  It boggles my mind how messy some databases are.
Boyd:  Listen to Donna everyone!  She knows this stuff really well.  The Excel file she sends you with highlighted names is pure gold.  She has done the hard work.  Review the highlights then use our merge feature to merge people together.  If you need help acting on her recommendations, let us know.
